Most documents in GoldFynch have a "primary date" that is used for organizational purposes across several systems including for searches and sorting of lists of documents.


Once a file is uploaded and processed by GoldFynch it is assigned a primary date depending on its type, along with a few other parameters.

  • For email files (i.e. files in the .eml and .msg formats,) this is set to the 'sent' date if available. Otherwise, the primary date is set to one of the following values as per the listed order:
    1. Submitted Date
    2. Received Date
    3. Last Modified Date
    4. Created Date
  • For calendar and outlook to-do lists,the 'task completed date' is used if available. Otherwise, priority is given in the order:
    1. Task Due Date
    2. Task Start Date
    3. Submitted Date
    4. Received Date
    5. Last Modified Date
    6. Created Date
  • For other documents, the 'submitted date' is used, if available. If not, it is assigned from:
    1. Received Date
    2. Last Modified Date
    3. Created Date 


NOTE: A file's primary date can be changed manually at any time.


Where primary dates can be viewed

In the 'Files' view

The primary dates are visible in the 'Date' column. The text next to date indicates what date has been used as the primary date. So in case, the value is 'User' then the primary date has been set by the user. If the value says 'Text' then the primary date has been set to a date found in the body of the document.

In the 'Docs' view

Step 1. Open the file in the 'Docs' view

Step 2. Move your mouse over the right-hand bar and scroll down to the section marked 'Dates.' If the tab is closed, you can open it by clicking on the arrow next to the word 'Dates.' The date with a tick mark against it is the primary date.


For example, in the above image, July 8th, 2013 12:08 pm CDT is the primary date of the file.


If the relevant metadata is available for a document, GoldFynch will automatically extract it and, along with the date, it will mention which field and the time zone it is taken from.


To change the primary date, either:

  • Click on another date in the 'Dates' tab to set that as the primary date
  • Enter a custom date with the given format and hit the 'enter' button on your keyboard


Places where primary dates are used

  • Dates in case reports and load files generated by GoldFynch are the primary dates of files
  • In the 'Files' view, dates displayed in the 'Date' column are the primary dates of files
  • While performing searches in GoldFynch, it is documents' primary dates that it runs checks against
  • After performing a search, you can both filter and sort files by their primary dates
  • During the production process, you can order files by their primary date. If you are going to carry out Bates or tag stamping this is important as files are stamped based on the order they are arranged in the production
